1. Introduction
Welcome to Vernacular Branding. This page outlines how we collect, use, store, and protect your information (Privacy Policy), the terms under which submissions are accepted (Submission Terms), and our cookie practices (Cookies & Consent). By submitting content or using the site, you agree to these policies.
2. Privacy Policy
2.1 What We Collect
- Personal data: name, email address, city/region (optional)
- Project data: title, description, images, video files (or links)
- Metadata: timestamps, file names, browser/IP logs for security
- Voluntary info: artist bios, social media handles
2.2 Purpose & Use
- Administer the Open Call: collect submissions, manage jury process
- Communicate with you: confirmation, shortlisting, status updates
- Production: for selected works, use in book, exhibition, promotion
- Analytics & site improvements (minimal)
2.3 Storage & Access
- Files: stored on Google Drive (via the Google Forms upload)
- Metadata & text: stored in WordPress database
- Who sees it: the project team, jury members (review only), production partners (only for selected works)
2.4 Retention & Deletion
- Unselected submissions: deleted within 90 days after Close of Open Call
- Selected entries: retained for production and archival purposes
- Right to deletion: you may request deletion of your personal data any time via email. If your work is already selected/used, removal from published versions may not be guaranteed after printing.
2.5 Your Rights
- Access your data
- Correct inaccuracies
- Delete your data (subject to above)
- Withdraw from the process (if before certain deadlines)

2.6 Changes & Updates
We may revise this policy. The “Last updated” date will be shown at top or bottom.
3. Submission Terms
3.1 Eligibility & Originality
- Only original works submitted by the artist(s) or with permission.
- Works may have been previously published or exhibited elsewhere, provided the contributor holds the rights and no exclusive third-party agreement is infringed.
- Any collaborators must be credited.
- No copyright-infringing, obscene, or defamatory images.
3.2 License Grant (Non-Exclusive)
By submitting, you grant Vernacular Branding / Envisionar Design Atelier a royalty-free, non-exclusive license to:
- Store and display your submission for jury and project review.
- Publish and reproduce your work in the book (print and digital), exhibitions, project website, social media, and related press or publicity.
- Use excerpts of your work for project promotion and marketing (digital or physical).
You retain full copyright and ownership of your work.
Contributors will not receive royalties or financial compensation; however, their work will be fully credited in all uses, and inclusion in the book and exhibitions ensures visibility within a growing discourse on design and culture.
3.3 Attribution / Credit
Your name, title, and credit as you provide it must be displayed wherever your work appears.
3.4 AI / Tool Disclosure
If you used AI tools (e.g. MidJourney, Stable Diffusion) in your work, you must disclose it. Works that are fully AI-generated without significant human input may be ineligible.
3.5 Minors
If you are under 18, a parent or guardian must submit on your behalf and consent to these terms.
3.6 Jury & Selection
- The jury’s decision is final and not subject to appeal
- Selection does not guarantee publication if technical or legal issues are found later
3.7 Withdrawal / Removal
- You may withdraw your submission before the final production deadline by sending a request to contact@vernacularbranding.in
- After publication or printing, we cannot guarantee full removal from already distributed materials
3.8 Technical Requirements & Use
- Accepted file formats: SVG, JPG, PNG, CDR, PDF
- Max 10 MB per file. Up to 5 files can be uploaded.
- Minimum recommended resolution: 150 dpi for images (to ensure print-ready quality if selected). Lower-resolution previews will be accepted for submission, but high-resolution files may be requested from selected contributors.
- We reserve the right to crop, resize, or adjust for layout, but not to change the artistic integrity
- We will not use your work in a way that misrepresents it or damages your reputation
3.9 Governing Law
These terms are governed by the laws of [your choice—e.g. India]. Any legal disputes will be handled in appropriate jurisdiction.
4. Press Materials Usage
4.1 Editorial Licence
Campaign visuals, posters, logos, and assets provided in our official press kit are licensed only for editorial use in connection with reporting on, reviewing, or promoting Vernacular Branding.
4.2 Restrictions
- Not permitted: commercial advertising, merchandising, endorsements, or use by third-party brands.
- Not permitted: redistribution of assets as stock images or part of unrelated projects.
- Alterations are limited to resizing or cropping for layout. No substantial modification or remixing without permission.
4.3 Credit
Wherever used, please credit: “Vernacular Branding / Envisionar Design Atelier”.
4.4 AI-Origin Note
Campaign visuals were created using AI-generated imagery edited by Vernacular Branding. They are provided solely to illustrate and communicate the project’s mood and identity.
4.5 Permissions
For high-resolution files, commercial use, or special cases, contact: contact@vernacularbranding.in.
5. Cookies & Consent
5.1 Essential Cookies
- WordPress / session cookies necessary for site operation
- Security, login, and site routing
5.2 Third-Party Cookies
- Google Forms / Drive may set cookies during upload process
- These are outside our control
5.3 Optional / Analytics Cookies
If we later add analytics (Google Analytics, etc.), we will notify you and request consent.
We don’t currently use analytics cookies.
5.4 Cookie Management / Opt-Out
- We currently do not set any non-essential cookies, so disabling them has no effect on site features.
- You may disable non-essential cookies via browser settings
- Doing so may limit certain site functionalities
